QUINZE MAI, the event agency organizing the event, is ISO 20121 certified — the international standard dedicated to responsible event management.

QUINZE MAI is committed to organizing all its events in a more responsible way, to engaging its clients, suppliers, service providers, and partners around these issues, and to raising awareness among all stakeholders, while respecting the following sustainable development principles: Vigilance – Inclusion – Integrity – Transparency.

Actions to Reduce the Impact of Events

For each event, we prioritize collaboration with partners certified ISO 20121, or those engaged in sustainable development initiatives (e.g., local caterers using short supply chains, eco-designed and reusable stands…). Below are examples of concrete actions implemented during events to reduce their impact (non-exhaustive list):

  • Implementation of waste sorting at the exhibition
  • Waste recovery through partners specialized in reuse and recycling
  • Recycling of special waste such as carpet or cigarette butts (via partners)
  • Reduction of carpeting in aisles
  • Reduction (or elimination) of printed materials such as catalogs or pocket maps, in favor of digital formats
  • Reduction of on-site magazines and publications, in favor of a digital kiosk
  • Reduction of printed signage, in favor of digital screen signage
  • Use of badge holders made from recycled plastic
  • Specific services carried out by ESATs (organizations employing disabled persons): badge assembly, bundling, etc.
  • Accessibility of spaces for people with reduced mobility (PRM)
  • Encouraging the use of public transport through various communication channels (websites, social media, newsletters, badges)

Measuring the Impact of Events

QUINZE MAI is committed to measuring the impact of its events, with the aim of reducing it, using CLEO — a carbon footprint tool dedicated to the event industry.

Recommendations for Exhibitors

Design and Setup:

  • Favor stand builders certified ISO 20121
  • Choose an eco-designed stand using sustainable, reusable materials and rented elements
  • Consider storing the stand for reuse at other events
  • Use LED bulbs for booth lighting

Communication:

  • Avoid printing flyers / brochures
  • Replace printed materials with digital formats
  • Replace giveaways with services
  • Limit the number of giveaways distributed and choose relevant items made from recycled or recyclable materials
  • Use existing posters or banners made from recycled or recyclable materials

Audiovisual:

  • Choose rented sound and lighting equipment
  • Favor dark visuals and HD video formats not exceeding 1080x1920 pixels

Transport and Accommodation:

  • Favor train travel, carpooling, and public transportation
  • Choose accommodations as close as possible to the event venue to reduce transport needs

What is ISO 20121?

The ISO 20121 standard was created in 2012 as part of the London Olympic and Paralympic Games. This international standard is dedicated to responsible management systems applied to event activities.

ISO 20121 serves as a guiding light for sustainable event management, helping to seamlessly integrate sustainability into every facet of event planning and execution. With a particular focus on environmental, social, and economic impacts, this standard is key to leaving a lasting positive legacy and applies to events of all types and sizes.
